ORGANIZATIONAL UNIT:
The University of South Florida Muma College of Business Office of Graduate Programs serves approximately 2000 students in master's, doctoral, and graduate certificate programs across all three campuses- Tampa, St. Petersburg, and Sarasota-Manatee.
POSITION SUMMARY:
The Academic Services Administrator manages and implements the administrative functions of the Executive MBA Program which is a 21-month, 48 credit-hour program with two cohorts of approximately 80 executive-level graduate students. Classes are scheduled one Friday and two Saturdays per month. The ASA must be available to work on these days when the program is in session. This position prioritizes developing and maintaining strong and active relationships with EMBA students, alumni and program faculty.
DUTIES:
Student services: Provide concierge level, proactive support to EMBA students including most facets of administrative university processes (registration, book purchases and delivery, student IDs, invoicing, parking services, and all other administrative matters associated with the university). Ensure satisfactory academic progression, troubleshoot and advise when necessary. Maintain the highest level of professionalism and exceptional service.
Operations: Coordinate schedules and program updates. Liaise with departments and assist Executive MBA faculty. Serve as primary contact for current and prospective EMBA students. Advise current and prospective students on academic progression, admissions application, and remedy actions for administrative challenges. Maintain content in the EMBA LMS hub for student access to policies and procedures. Coordinate the Distinguished Speaker Series. Assist with programmatic reports for internal and external stakeholders. Assist with marketing and collaborate with graduate recruitment personnel in matters related to EMBA recruitment. Maintain website and student database. Supervise admissions from inquiry to matriculation. Supervise graduate assistant.
Fiscal Management: Maintain vendor relationships, and coordinate all procurement processes related to the EMBA in close coordination with college financial management. Ensure timely processing of all student financial matters, including invoicing and scholarship awards. Assist program director and college financial management with annual budget development by tracking expenses and providing insights on changes in program needs, cost of materials, and technology. Serve as backup for payroll preparation in the Muma College of Business Graduate Studies office.
Event Coordination: Serve as lead event planner and coordinator for all EMBA program related events including orientations, galas, receptions, speaker series, and other special events. Liaise with marketing personnel and vendors as needed for college events.
Performs other duties as assigned.
QUALIFICATIONS (Education & Experience):
Minimum Qualifications:
This position requires a Master's degree in education or a field of study related to the academic program, or a Bachelor's degree in those same fields with a minimum of two years of experience.
FLSB1310 Equivalency:
4 years of directly relevant experience may be substituted for bachelor's degree.
6 years of directly relevant experience may be substituted for master's degree.
Preferred Qualifications:
Experience with event planning, student services, and graduate business degree programs.
