ORGANIZATIONAL SUMMARY:
The mission of Undergraduate Studies (UGS) is to advance student inquiry and success by fostering an inclusive and supporting learning environment. UGS at USF St. Petersburg provides academic support services and partners with colleges to enhance the academic experience of students and drive degree completion goals of every student. Programs and services coordinated by UGS USF St. Petersburg includes Student Success Advocacy, the Debbie Nye Sembler Student Success Center, and academic advising for the following academic programs: Bachelor of General Studies and the Bachelor of Science in Applied Sciences as well as academic majors in Exploratory Curriculum Pathways, and Leadership Studies.
POSITION SUMMARY:
The Sr. Academic Program Specialist will provide both Undergraduate Studies and the Student Success Center at USF St. Petersburg with reporting and data services necessary to support decision-making, planning and analysis. The incumbent will execute timely and accurate data collection and distribution to ensure Academic Advisors, Success Advocates, Learning Support staff and other academic support professionals provide effective academic outreach and interventions. The incumbent utilizes a center management system to track utilization of services and coordinates the monthly evaluation of services by both paraprofessional and professional staff across both Undergraduate Studies and the Student Success Center. Conducts on-boarding of new hires with software systems and data usage. As needed, the incumbent will provide office coverage during gaps in service.
SPECIAL REQUIREMENTS:
Experience in MS Office, especially Excel, knowledge of various platforms that support office operations, and ability to visualize the data for decision making purposes and improved delivery of services.
RESPONSIBILITIES:
Data Collection, Assessment and Reporting on Student Outcomes. Create, maintain and distribute semester cycle reports tied to retention metrics. Data related responsibilities include: advising surveys, admission reporting, transfer syllabi reconciliation, registration support, reports for outreach campaigns. Using PowerBi develop accessible dashboards for decision support and data visualization.
Evaluation and Assessment of Academic Support Services. Maintain assessment tools that collect data on utilization of services and the quality of delivery of services. Develop monthly, semester, and annual reports that include (but is not limited to) office utilization, advising appointments, advocacy services, and learner support (tutoring). In addition to utilization, develop assessment practices and reports that showcase effectiveness and drive continuous improvement of programs and services.
Data support for advising operations for new (orientation) and continuing (registration) students, and degree completion/graduation. Conduct preliminary records review for new students. Review student records and ensure assembly of admission data and documents necessary for advising for new students. Provide data and reporting support for completion campaigns and degree certification needs.
Data Access and Maintenance. Update, maintain and serve as point person for Archivum student record software. Main user of Management permissions in Archivum for STP. Maintain and update data and ensure data quality for academic support platforms.
Provide office coverage during gaps in service. As needed provide coverage during planned (e.g. vacations) and unplanned (e.g. vacancies) gaps in service.
Perform other duties as assigned.
POSITION QUALIFICATIONS:
MINIMUM:
This position requires a high school diploma or equivalent, with 5 years of administrative experience. At least one year of experience must involve administrative or program support duties in an academic department or college. Appropriate college coursework or vocational/technical training may substitute at an equivalent rate for the general administrative experience. This educational substitution does not apply to required year of experience in an academic program.
PREFERRED:
Advanced Microsoft Office Excel and data analysis abilities. University/higher education experience, specifically related to advising. Very strong organizational and communication skills.
